  Booking and Payment

 
 
Who do I pay?

All bookings are made direct with the property owners. Once you have discussed your requirements and are ready to book you can then agree and confirm the booking directly the owner. Typically, they will then send you a booking form or contract for you to check, sign and send back along with your deposit.

How much will the deposit normally be?

When you confirm a booking for a property you will typically pay a deposit to secure the booking. This usually varies from anywhere between £100 to 25% of the booking value. If booking late i.e. less than 4 – 6 weeks before arrival the full balance is usually expected straight away.
 
 
     
  When do I pay the full amount?

Balance is normally due 4-6 weeks prior to arrival. If you book within this time period the whole amount would normally be expected when booking.

Any additional items such as catering etc may be paid prior, if a fixed price, or on departure.

How can payment be made?

The most common way to pay is by Bank Transfer or Cheque but some bigger establishments/organisations may accept payment by card.

Will we have to pay a security deposit?

This is a common question when it comes to hiring large properties where damage could occur. There is no hard and fast rule when it comes to security deposits. Owners rely on good recommendations and want their guests to have a pleasant experience; it is not in their interests to overcharge for damages occurring during your stay. The vast majority of property owners are aware that wear and tear will occur though if you do cause excess damage through improper use do expect to be held accountable and charged.

Be honest with owners about your type of group and reason for renting. Most owners will be happy to rent out to higher risk groups such as stag and hen groups and if given warning can ensure that they prepare for your stay.

How is the security deposit secured and returned?

A cheque may be payable with the final payment. This will then either be held or banked and the cheque or value returned on checking the property before departure. Some property owners may take card details instead.

What if we have to cancel our booking for any reason?

Normally if you cancel a booking you will lose your deposit. If a cancellation is made with little notice and the full amount has been paid you will usually lose the full amount as property owners are left with little time to find another booking. Different owners will have different policies and it is always worth checking with property owners what they do in case of cancellations.

How can I protect my group against excess damage costs and cancellations?

For peace of mind and protection against these issues we would recommend taking out insurance and splitting the cost between the group. You should look for insurance that covers both cancellation and damages. The following companies can provide this type of insurance:

What are the terms and conditions of booking?

Each property owner will have their own terms and conditions of booking. Before confirming a booking be sure to ask for details of these and check them carefully.

Managing Money Between the Group

The best way to manage booking and money between the group is to make one person responsible for collecting all money from individuals and sending it on to the owner in one payment. Most banks now offer same day online transfers and this is usually the easiest way to collect the money.
